Privacy policy
Posimind Consulting LLP (“Posimind”, “we”, “us”) is an executive search and human resource consulting firm based in Pune, India. This policy is the notice we give you about the personal information we hold. It explains what we collect, why we use it, who we share it with, how long we keep it, and the rights you have. It applies to posimind.in and to every service of ours that links to this notice.
1. Who we are

We decide the purpose and the means of the processing described here, and this policy is written to serve as the notice contemplated by the Digital Personal Data Protection Act, 2023 and the rules made under it. It also records the practices we follow under the Information Technology Act, 2000 and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011.
For any question or request about your personal information, write to trupti@posimind.in. Section 12 names the officer who answers.
2. Information we collect
We collect only what we need to do the work you or your organisation has asked us to do, and we tell you why at the point we ask for it.
2.1 From candidates
- Your name and contact details, including email address, telephone number and location.
- Your career history, qualifications, resume and any other documents you send us.
- Your salary expectations, notice period and work authorisation.
- Anything else you choose to tell us about what you want next.
- The notes our consultants write when we speak with you or interview you.
- The contact details of references you nominate. Please tell them first.
2.2 From clients
- Business contact details for the people we work with at your organisation.
- Role requirements, position specifications and the background you give us about the mandate.
- Records of the engagement, including correspondence, meeting notes and invoicing details.
2.3 From website visitors
- The details you submit through the contact form, the newsletter form and the job alert form, including the preferences you set for alerts.
- Basic server logs, such as your IP address, browser type and the time of the request. We keep these to protect the site against abuse.
- Nothing else. We run no analytics, no advertising and no third-party tracking on this website.
3. Why we use it and our lawful basis
Where we rely on your consent, you gave it freely and you can withdraw it at any time. Withdrawing consent does not undo anything we did lawfully before you withdrew it.
- To represent you as a candidate. We hold your profile, assess you against live and future searches, speak with you about roles, and prepare you for a client process. We do this with your consent.
- To send you our Insights and job alerts. We do this with your consent, and every email carries a way to stop.
- To deliver a search or a managed service for a client. We do this to perform the engagement we have agreed with that organisation.
- To answer an enquiry you send us. We use your message and contact details to reply to you.
- To keep our systems safe and to meet our obligations. This covers security logging, fraud prevention, accounting, tax and any legal requirement or order that applies to us. Where a law, court or regulator requires this of us, the Act allows it without your separate consent.
4. How we share it
- With a client, for one role, after you agree. We share a candidate profile with a client organisation only for a specific role, and only after that candidate has agreed to be put forward for it. We do not circulate profiles.
- With service providers. We use service providers who host our systems, and they process information only on our instructions and only to provide the service to us.
- Where the law requires it. We disclose information when we are required to by law, by a court or by a regulator.
- Never for sale. We do not sell personal information, and we do not trade it with advertisers or data brokers.
The website never crosses the two sides of our work. Clients do not see candidate details through the website, and candidates do not see client identities through the website. That exchange happens through our consultants, with the agreement of the person concerned.
5. Cross-border sharing
Some of the organisations we work for are outside India, including in Southeast Asia and the Middle East. Candidate information leaves India only with that candidate’s consent, only for a specific role, and only where the law allows the transfer.
6. Retention
We keep your information while it serves the purpose you gave it to us (for candidates, while you stay in our talent network), until you ask us to remove it, or until the law requires us to delete it.
The same rule applies to enquiries you send through the contact form and to the records of a client engagement. When information no longer serves its purpose, we delete it or make it anonymous, except where a law requires us to keep a record for longer.
7. Security
We follow reasonable security practices and procedures for the information we hold. Data is held on access-controlled systems, transmitted over encrypted connections, and reachable only by the Posimind staff who need it for the work in hand. We review who has access, and we remove it when a person no longer needs it. No system is perfect, so if a breach affects you, we will tell you and the authorities as the law requires.
8. Your rights and how to exercise them
You have the right to:
- Access a summary of the personal information we hold about you and what we do with it.
- Correct, complete or update information that is wrong or out of date.
- Erase information we no longer need for the purpose you gave it to us.
- Withdraw your consent at any time, including your consent to stay in our talent network or to receive our emails.
- Nominate another person to exercise these rights on your behalf if you die or cannot act for yourself.
- Have your grievance heard by us, promptly and in writing.
To use any of these rights, write to trupti@posimind.in. We may ask you for enough information to be sure the request is really yours, so that we do not disclose your details to someone else. We acknowledge and answer every request within seven days.
If our answer does not satisfy you, you may complain to the Data Protection Board of India. Please raise the matter with us first, so that we have the chance to put it right.
9. Children
Our services are for working professionals and for organisations that hire them. This website is not directed at anyone under 18, and we do not knowingly collect information about children. If you believe a child has given us personal information, write to us and we will delete it.
10. Cookies
This website sets no cookies for ordinary visitors, and it runs no analytics, advertising or third-party cookies. The only cookie we set is the session cookie that signs a member of our staff in to the admin area. Our cookie policy sets this out in full, and we will ask for your consent before any non-essential cookie is ever introduced.
11. Changes to this policy
We may update this policy as our services or the law change. The “Last updated” date at the top of the page always shows the current version. If a change materially affects how we use information you have given us, we will tell you directly.
12. Grievance Officer and contact
